3. Why and on what basis we process data

We process enquiries to take steps requested before entering a contract, provide quotations and manage transport services.

We process operational and accounting records to perform contracts and meet legal, tax, customs, security and compliance obligations.

We use proportionate security logs and fraud controls for our legitimate interests in protecting the website, clients and systems.

We send non-essential analytics or marketing data only after the consent required by applicable law. Consent can be withdrawn through Cookie Preferences or by contacting us.

4. Recipients and service providers

Data may be shared only as necessary with contracted carriers, freight agents, warehouses, customs brokers, insurers, surveyors, IT and hosting providers, email providers, professional advisers and public authorities.

WhatsApp, LinkedIn, Google Tag Manager or analytics services may process data under their own terms when you use those services or consent to the relevant cookies. Do not send sensitive or unnecessary documents through public messaging channels.

We do not sell personal data.

5. International transfers

International freight necessarily involves parties in several countries. Data may be transferred to a country with different data-protection rules when required to quote, arrange, monitor or document a shipment.

Where applicable, we use contractual, access-control and data-minimisation measures. Ask us before sending special-category or highly confidential data.

6. Retention

Unsuccessful quote and general enquiry records are normally retained for up to 24 months unless a longer period is required for a dispute, compliance review or your continuing relationship.

Shipment, contract, customs, tax, accounting, insurance and claim records are retained for the period required by applicable law and legitimate legal needs.

Newsletter records are kept until unsubscribe or valid suppression; security logs are normally kept for up to 90 days; cookie-consent choices are normally stored for up to 12 months.

Uploaded files that are rejected for security or are no longer required are deleted or restricted as soon as reasonably practicable.

7. Cookies and tracking

Essential cookies support security, consent storage and core website functions and cannot be disabled through the banner.

Analytics cookies help measure website use. Marketing cookies support campaign measurement. Functional cookies remember optional preferences.

Non-essential categories are denied by default until you grant consent. You can change your decision at any time through the Cookie Preferences control in the footer.

Browser settings may also delete or block cookies. Blocking essential storage can affect site functions.

8. Security and file uploads

We use access controls, input validation, rate limiting, restricted file types and server-side storage controls. No internet transmission or storage method is completely secure.

Upload only documents necessary for the request. Do not upload passwords, payment-card data, identity documents, health data or unrelated confidential information unless we have specifically requested a secure method.

9. Your rights

Depending on the law that applies, you may request access, correction, deletion, restriction, objection, portability or withdrawal of consent. Some records cannot be deleted while legal, contractual or claims obligations continue.

Send a clear request to info@bilanlogistics.com. We may verify identity before responding. You may also complain to the competent data-protection authority in your country.

10. Children and changes

Our services are directed to businesses and are not intended for children. We do not knowingly solicit children’s personal data.

We may update this policy when systems, providers or laws change. The date at the top identifies the current version.
